Artificial intelligence (AI) is no longer something on the horizon; it’s here, and it’s already reshaping how we work together. At TriMetrix, we see AI as a powerful innovation with the potential to strengthen the outcomes we deliver for our clients and advance their missions. It is increasingly becoming part of both what we’re asked to deliver and how we design smarter, more effective solutions. That makes it clear: AI is not just an option—it’s becoming an integral part of our work.
Our team at TriMetrix has taken the time to develop an approach grounded in thoughtfulness and intention. We are committed to aligning with client guidance, maintaining compliance, while (most importantly!) preserving what makes TriMetrix strong: the knowledge, expertise, and creativity of our people. AI is a tool to enhance our work, not replace the human insight at the heart of it.
Taking a Strategic Approach
To ensure we moved forward deliberately and effectively, we began by building a strong foundation. In January of 2026, we brought together a diverse group of about 20 team members from across TriMetrix—spanning roles, project teams, and levels of familiarity with AI. This group became our AI Workgroup, charged with helping us navigate this evolving landscape.
The team was tasked with guiding the responsible, secure, and effective adoption of AI across the company. Its goal was to create guidance and supports for the use of AI that continually improve how we deliver on contracts. It aimed to strengthen internal operations while fully complying with federal regulations and meeting client expectations.
From the start, the workgroup emphasized a key principle: people remain at the center of everything we do. AI is here to support and amplify our work, not to redefine the core of who we are.
From Exploration to Action
The AI Workgroup quickly moved into action, organizing its efforts through a structured, phased approach. The group formed four subcommittees, each focused on a critical area of AI adoption to allow for deep exploration and more targeted recommendations.
Each subcommittee conducted research, evaluated tools, and developed practical deliverables designed to support staff and guide implementation. To ensure these efforts reflected the needs and experiences of our entire organization, the group also gathered input directly from staff through a company-wide survey.
This feedback was instrumental, helping shape priorities, identify opportunities, and ensure that our approach is grounded in the realities of how we work today.



Creating Corporate Guidance
A subcommittee conducted a comprehensive review of all of our client policies and created concise guides for staff summarizing each client’s AI requirements. The group then looked across client and broader federal guidance to identify common themes that would inform company-wide AI policy. These guidelines were compiled and are accessible to staff from a centralized resource hub.
Identifying Approved AI Tools
A dedicated Tools and Costs subcommittee launched a structured, data-driven process to identify which tools best meet needs across TriMetrix while minimizing risk.
The effort began with the company-wide survey to understand how employees were already using AI and what support they needed, rather than selecting tools based on preference alone. From there, the subcommittee created a five-stage evaluation framework that prioritizes tools based on frequency of use and risk exposure, screens them against technical and security criteria, and conducts detailed, evidence-based testing before advancing recommendations to leadership.
This process led to two categories of approved AI tools, distinguished primarily by data sensitivity requirements. Staff were then provided with guidance, accounts, and resources to support their use.
A Central Hub for Guidance and Learning
We know that AI investments deliver value only when paired with strong adoption, skills development, and workflow integration. As we finalized the AI tools and guidance at TriMetrix, we created trainings designed to help employees adopt AI tools effectively and responsibly.
Initial trainings focused on foundational learning to familiarize staff with company guidance, policies, core concepts, and prompt writing. These were followed by optional, tool-focused communities of practice that allow employees to deepen their skills, share real-world use cases, and collaborate with peers. All trainings, guidance, and resource materials were organized in a centralized hub for easy access by staff and to allow for frequent updating as guidance evolves over time.
Ever Evolving
This is just the beginning. AI will continue to evolve and to shape each of our roles in ways we might not yet be able to imagine. Our structure is designed to evolve with it, while also keeping our people at the heart of what we do. By combining thoughtful policies, practical guidance, and ongoing learning, TriMetrix is embracing AI in a way that strengthens our mission-focused work and supports our clients.
